FAQ-19 ( Excise for Dealers):

Excise Dealer is recording excise purchase entry by selecting same Item twice as the rate of Duty applicable is different. Dealer sold the goods by selecting the purchase bill in which same item is selected twice. On viewing Excise Reports details of Stock item selected as first item in the purchase invoice is displayed.

Reason

When the Excise Purchase is recorded by selecting the same item multiple times (more than once) the Supplier Invoice Number displayed in Excise Details will be same for all the items selected in the Voucher. If the same voucher number is retained system cannot identify the details of all the stock items as the invoice number is same. It identifies only the First stock item for which the invoice number is entered. Hence in Excise Reports only details of First stock item will be displayed.

Solution

To identify the details of stock item selected multiple times, alter the Invoice Number by specifying the suffix or prefix [E.g. ABC/4587- 1 (here 1 is the suffix to the invoice number)] for the items selected as second line item. Similarly you can alter the invoice number of all the subsequent line items.

Yes, it is possible. Tally.ERP 9 allows the user to select the Stock Items with different assessable value, different rate of Duty and even the stock items purchased against different invoices (from manufacturer).

Following is the procedure to select same item multiple times in Excise Purchase Invocie

Example: On 5-9-2008 ABC Company purchased Hot Rolled Coils from Globus Steel Industries vide invoice no. GSI/025/08-09. The details are as follows.

Record the transaction in a purchase invoice

1.         Select Excise Purchase Invoice and Enter GSI/025/08-09 in the Supplier invoice No. field

2.         Select Globus Steel industries in Party's A/c Name field. In the Supplier Details screen select the Manufacturer as shown in the screen

Note: If the supplier of the goods is not the manufacturer, specify the details of the manufacturer of the goods in the Manufacturer / Importer Details section. In the Supplier’s Details by using Alt+M key or by clicking on the M: Manual button in the buttons bar, Manufacturer /Importer details can be entered manually or you can select the Manufacturer ledger from the List of Ledger Accounts if the Manufacturer ledger is created and available

3.         Select the Nature of Purchase as First Stage Dealer. If the Nature of Purchase selected in the Party Ledger the same will be defaulted

4          In the Name of Item field select Hot Rolled Coils. Enter Quantity - 1000 Kg and Amount - Rs.15,00,000 to view Excise Details screen

5.         In the Excise Details screen enter the details as shown

Note: In the Assessable Value  Rs. 12,00,000 on which the Excise Duty to be calculated. The amount specified in this amount should the amount on which the Excise Duty is calculated by the manufacturer.

6.          In Name of Item field select Hot Rolled Coils again as second line Item. Enter Quantity - 500 and Amount - Rs. 8,00,000

7.         In the Excise Details screen enter the details as shown

Note: In the above screen supplier Invoice No. is altered as GSI/025/08-09-1. Invoice Number is altered in order to identify the Invoice Number for the Stock Item – Hot Rolled Coils selected as a second line item. Even though you alter the Invoice number for the second line item, in all the reports the Invoice number entered in the Supplier Invoice No. field will be displayed. 

For the second line item the rate of duty applicable is 8%. In Duty Details section, for Basic Excise Duty Type change the Rate of Duty as 8%. Duty amount will be calculated and displayed based on the rate of duty specified.         

8.         In Name of Item field select Hot Rolled Coils again as third line Item. Enter Quantity - 750 and Amount - Rs. 13,00,000

9.         In the Excise details screen enter the details as shown

Note: In RG 23D Entry No. field - 4366 is specified. This Number represents the suppliers RG 23D entry no, where the details of the particular transaction is available. As the Quantity of 750 is purchased under the Invoice no- SSI/650/08-09 which is different from the earlier Invoice Number. So appropriate RG 23D entry no, corresponding the purchase invoice is specified

As in Tally.ERP 9 you can select the stock items purchased under different invoices from the same party In the above screen under Manufacturers/ Importer Invoice Details,supplier has entered different manufacturers invoice No. i.e. SSI/650/08-09 which is different from the invoice selected earlier for Quantity 1000 and 500

10.        The completed Purchase Invoice is as shown below.

To Check the effect of these type of transaction

Go to Gateway of Tally> Display > Statutory Reports > Excise Reports> Dealer > Excise Stock Register

Excise Stock Register as on 5-9-2008 is displayed as shown

In all the reports the stock items selected multiple times in a purchase invoice will be displayed one by one based on the selection in the purchase Invoice.

Observe, in the Invoice No/Date column the Invoice Number as specified in Supplier Invoice No. field in voucher entry screen is displays irrespective of alteration done (as GSI/025/08-09-1 and GSI/025/08-09-2) in the Excise Details screen for the second and third line items.
